1. Scope
This Privacy Policy applies to personal information that All Suffolk Brokerage (“we,” “us,” or “our”) collects through this website and its quote and contact forms, and when you call us, text us, or email us.
When you buy insurance through us, the insurance company (or the New York Automobile Insurance Plan) that issues your policy has its own privacy notice, which also applies to the information it holds. If you become our customer, you will also receive the privacy notice that federal and New York law require (see Section 7).
2. Who we are
All Suffolk Brokerage is an independent insurance brokerage. We help drivers, homeowners, and businesses in Suffolk County, Nassau County, and throughout New York State find coverage. Much of our work is placing drivers in the New York Automobile Insurance Plan (NYAIP, often called “assigned risk”), including new, teen, and student drivers, permit holders, and drivers with tickets, accidents, lapses in coverage, or cancellations for non-payment. We also broker auto, homeowners, business (business owners policies and general liability), workers compensation, and flood insurance.
You can reach our office at:
- Mail: All Suffolk Brokerage, 136 NY-109, West Babylon, NY 11704
- Phone: (631) 906-7824
- Email: info@allsuffolkbrokerage.com
3. Information we collect
We collect only what we need to answer your request, prepare quotes, and place and service your insurance.
Identifiers and contact information
Your name, mailing or garaging address, ZIP code, phone number, email address, and how you prefer to be contacted.
Information you give us when you request a quote
Depending on the type of insurance, our forms may ask for:
- Auto: date of birth; ZIP code or address; vehicle year, make, and model; license or learner permit status; driving history such as tickets, accidents, lapses in coverage, or prior cancellations; and other drivers in your household.
- Homeowners and flood: property address and details about the home, such as its age, construction, and occupancy.
- Business and workers compensation: business name, type of operations, number of employees, payroll estimates, and locations.
- All lines: current or prior insurance, claims history, and anything else you choose to tell us in a message.
If you give us information about another person, such as a household driver or a teen you are adding to a policy, please make sure you have their permission or the authority to share it.
Please do not send sensitive numbers through our website. Our forms ask you not to enter Social Security numbers, driver license numbers, or payment card numbers. When we need that kind of information to place coverage, we collect it securely by phone. If you send it through a form or by email anyway, we will limit its use to your insurance request.
Information we collect later to place coverage
To bind and service a policy, we or the insurer may ask, by phone, for driver license numbers, vehicle identification numbers (VINs), lienholder or mortgagee details, Social Security numbers where an insurer or the NYAIP requires them, and payment information for premiums or down payments. For workers compensation, this can include information about past workplace injury claims.
Information collected automatically
Like most websites, our site and hosting provider automatically receive technical information when you visit, such as your IP address, browser and device type, the pages you view, the page that referred you, and the date and time of your visit. See Section 11 for cookies and analytics.
Third-party services on our pages
- Google Fonts. Our pages load fonts from Google’s servers. To deliver the fonts, Google receives your IP address and basic browser information.
- Address suggestions. When you type a property or business address into our quote form, the text you type is sent to Photon, an address search service operated by komoot that uses OpenStreetMap data, so it can suggest matching addresses. Only the address text is sent, along with your IP address and basic browser information; your name, phone number, and other answers are not.
- ZIP code check. When you enter a ZIP code on our forms, the five digits are sent to Zippopotam, a free postal code lookup, to confirm the ZIP code exists and show the matching town. Only the ZIP code is sent, along with your IP address and basic browser information.
- Form processing. When you send a quote request, contact message, or waitlist sign-up, your answers are delivered to us through Netlify Forms, the service that hosts this website. Netlify stores the submission so our office can read it, and records your IP address, browser information, and the page you sent it from. Netlify also checks submissions for spam.
- Spam protection. Our forms use Google reCAPTCHA to tell people from automated spam. reCAPTCHA collects hardware and software information, such as device and browser data, and sends it to Google for analysis. Your use of reCAPTCHA is subject to the Google Privacy Policy (opens in a new tab) and Terms of Service (opens in a new tab).
4. Where information comes from
- You, through our forms, phone calls, texts, and emails, or a parent, spouse, employer, or other person applying on your behalf.
- Insurance companies and the NYAIP, including quotes, underwriting decisions, policy, billing, and claims information.
- Consumer reports. To underwrite and rate coverage, insurers, and in some cases our office on an insurer’s behalf, may obtain motor vehicle reports (MVRs) from the New York DMV or other states, claims history reports such as CLUE reports, prior insurance records, and, where New York law permits, credit-based insurance scores. These reports are obtained for insurance purposes as allowed by the federal Fair Credit Reporting Act (FCRA), the Driver’s Privacy Protection Act, and the New York Insurance Law, with any notice those laws require.
- Others involved in your coverage, such as premium finance companies, lienholders, mortgage lenders, and prior insurers.
- Automatically, from your browser or device when you use our website.
5. How we use information
- To respond to your questions and contact you about your request.
- To prepare quotes, compare options, and submit applications to insurers or the NYAIP.
- To place, renew, change, and service your policies, including payment reminders, document requests, and help with claims.
- To send marketing messages, such as renewal reviews and new coverage options, only when you have agreed or the law otherwise allows, and always with a way to opt out.
- To keep records, prevent fraud, protect our systems, and meet our legal and regulatory obligations.
- To understand how our website is used so we can improve it.
6. How we share information
We do not sell your personal information. We do not share it with third parties for cross-context behavioral (targeted) advertising, and we do not give or rent our customer lists to other companies for their own marketing.
We share personal information only as described below and as the law permits:
| Who receives it | Why |
|---|---|
| Insurance companies and the New York Automobile Insurance Plan (and the servicing carrier the plan assigns) | To quote, underwrite, issue, renew, and service your coverage and handle claims |
| Premium finance companies | When you choose to finance your premium |
| Service providers that work on our behalf, such as website hosting, form processing, quoting and comparative rating software, agency management systems, phone, email, and text messaging platforms, and payment processors | To operate our business; they may use the information only to provide services to us |
| People you ask us to share with, such as a lienholder, mortgage lender, landlord, or a business that needs a certificate of insurance | At your direction or with your consent |
| Government agencies, regulators (including the New York State Department of Financial Services), courts, and law enforcement | When required or permitted by law, including to respond to legal process, report suspected insurance fraud, or protect rights and safety |
| A buyer or successor of our business | If our agency is sold, merged, or transferred, subject to this policy and applicable law |
Text messaging data is excluded. None of the categories of sharing in this policy include text messaging originator opt-in data and consent. See Section 8.
7. Insurance privacy laws (GLBA & NY Regulation 169)
As an insurance producer, we are subject to the federal Gramm-Leach-Bliley Act (GLBA) and New York Insurance Regulation 169 (11 NYCRR Part 420), which protect “nonpublic personal information” about consumers and customers who obtain insurance for personal, family, or household purposes.
- We do not disclose nonpublic personal financial information to nonaffiliated third parties except as those laws permit, for example to process and service a transaction you request, to service providers under confidentiality obligations, with your consent, or as required by law.
- We disclose nonpublic personal health information, such as injury details in a workers compensation claims history, only as Regulation 169 permits, such as to underwrite or service your insurance or handle a claim.
- Because we do not share nonpublic personal information in ways that would require an opt-out, there is nothing you need to do to limit that sharing.
When you become our customer, we will give you our privacy notice as these laws require, and we will provide updated notices afterward when the law requires them. This website policy is meant to be consistent with that notice; if they conflict for a customer, the required privacy notice controls.
8. Text messaging (SMS)
Our forms include two separate, optional checkboxes for text messages. Both are unchecked by default, and you can submit a form without checking either one.
- Customer care and quote-related texts: quote follow-ups, document requests, appointment and payment reminders, and policy updates.
- Marketing and promotional texts: such as renewal reviews and new coverage options, which may be sent using automated technology, up to 4 messages per month.
You may also give consent verbally or in writing, for example when you speak with our office. Consent to receive text messages is not a condition of purchasing any product or service. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Full program details are in the text messaging section of our Terms of Service.
When you opt in, we keep a record of your phone number, the consent you gave, and when and how you gave it, along with the messages we exchange and any opt-out request. We use this information to send the messages you asked for, to honor opt-outs, and to show that we have your consent.
We will not share, sell, rent, or otherwise disclose your mobile phone number or SMS opt-in data and consent to any third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with service providers (such as our SMS messaging platform) who help us deliver messages to you.
All other categories of sharing described in this Privacy Policy exclude text messaging originator opt-in data and consent.
9. Phone calls
When you submit a form, you ask us to contact you by phone or email about your request, and we will use the number you provide for that purpose. We follow the federal Telephone Consumer Protection Act (TCPA). We will not make marketing calls or send marketing texts using an autodialer or prerecorded or artificial voice without your prior express written consent.
We honor the National Do Not Call Registry and New York’s do-not-call law for marketing calls, and we keep an internal do-not-call list. If you ask us not to call you for marketing, we will add you to that list. You can still hear from us about an active quote, policy, or account matter.
Calls with our office may be recorded for quality and record-keeping. See our Terms of Service for details.
10. Email
We use email to respond to your requests and to send service messages about quotes, policies, renewals, and billing. These transactional messages are part of servicing your account.
If you check the email box on our forms or otherwise agree, we may also send occasional emails about coverage reviews and renewals. Every marketing email follows the federal CAN-SPAM Act: it identifies us, includes our mailing address, and includes an unsubscribe link. We honor unsubscribe requests within 10 business days. Unsubscribing from marketing does not stop service emails about an active quote or policy.
11. Cookies, analytics & browser signals
Cookies are small files a website stores in your browser. Our website does not require cookies to work. We do not use advertising cookies or tracking pixels to target ads to you across other websites.
Google Analytics. We use Google Analytics to count visits and see which pages are useful. Google Analytics sets cookies in your browser and receives your IP address, browser and device information, the pages you view, and how you arrived at our site. We look at this information in aggregate to improve the website. Google’s use of this information is described in How Google uses information from sites that use its services (opens in a new tab). You can opt out with the Google Analytics Opt-out Browser Add-on (opens in a new tab) or by blocking cookies in your browser.
Controlling cookies. Most browsers let you view, block, or delete cookies in their settings. Blocking cookies will not stop you from requesting a quote.
Do Not Track and Global Privacy Control. Because we do not sell personal information or share it for cross-context behavioral advertising, there is nothing for these signals to switch off on our site. Where a law requires it, we will treat a Global Privacy Control signal as a valid request to opt out of sale or sharing for that browser.
12. Data security
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information, consistent with the New York SHIELD Act (N.Y. General Business Law § 899-bb). These include limiting access to people who need it, using secure systems and encrypted website connections, and requiring our service providers to protect the information they handle for us.
If a breach of security affects your private information, we will notify you and the appropriate authorities as required by N.Y. General Business Law § 899-aa and, where it applies to us, the New York Department of Financial Services Cybersecurity Regulation (23 NYCRR Part 500).
No website, email, or storage system is completely secure, and we cannot guarantee the security of information you send us. That is one reason we ask you not to send sensitive numbers through our forms or by regular email.
13. How long we keep information
We keep personal information for as long as we need it for the purposes described in this policy, such as preparing quotes and servicing your policies, and for as long as New York Insurance Law, Department of Financial Services regulations, tax law, and other laws require us to keep records of insurance transactions. When we no longer need information, we delete or destroy it securely, or remove the details that identify you.
If you request a quote but do not buy a policy, we keep your information only as long as reasonably needed to follow up, keep accurate business records, and meet legal requirements.
14. Your choices & rights
Access and correction
You can ask us what personal information we hold about you and ask us to correct anything that is inaccurate or incomplete. Insurers may give you additional rights to see and correct the information they hold. If the information is held by an insurer or the NYAIP, we will help direct your request to them. We will verify your identity before acting on a request, and we will respond within a reasonable time and within any time limit the law sets.
Consumer reports and adverse decisions
If an insurer declines coverage, charges a higher rate, or takes other adverse action based in whole or in part on a consumer report, the FCRA gives you the right to a notice naming the consumer reporting agency, a free copy of your report if you request it within 60 days, and the right to dispute inaccurate information with the agency.
Deletion
You may ask us to delete personal information we no longer need. We will do so unless we must keep it to service a policy, meet record-keeping rules, or comply with other legal obligations, in which case we will tell you.
Marketing choices
- Texts: reply STOP to any message, or tell us by phone or email.
- Email: use the unsubscribe link in any marketing email, or contact us.
- Calls: ask to be placed on our internal do-not-call list.
Residents of other states
Our business is focused on New York. If the privacy laws of another state, such as the California Consumer Privacy Act as amended by the California Privacy Rights Act, apply to our handling of your information, we will honor the rights those laws provide. We do not knowingly sell personal information or share it for cross-context behavioral advertising, and we will not discriminate against you for exercising your privacy rights.
To make any request, contact us using the details in Section 18.
15. Children and teen drivers
Our website is not directed to children under 13, and we do not knowingly collect personal information online from children under 13, consistent with the Children’s Online Privacy Protection Act (COPPA). If you believe a child under 13 has sent us information, contact us and we will delete it.
We often insure teen drivers and learner permit holders. If the driver is under 18, a parent or guardian should submit the form and provide the driver’s information. We use a minor’s information only to quote, place, and service insurance.
16. Third-party links
Our website links to other websites, such as insurers, Google, and government agencies. We do not control those sites, and this policy does not apply to them. Please review their privacy policies before sharing information with them.
17. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date at the top of this page. If we make a material change to how we use or share personal information, we will give notice on this website and, for customers, by any other method the law requires. We will not use information collected under this policy in a materially different way without any consent the law requires.
